Administrator - Export Operations – NW London - £15 p/h

3–6 Month Temporary Contract

 

We are looking for an experienced Administrator to join the Export division of a growing business on a 3–6 month temporary basis. This is a hands-on role responsible for managing the end-to-end operational process for international export customer orders, from order confirmation and cargo readiness through to shipment, documentation and delivery follow-up.

 

You will work closely with customers, freight forwarders, shipping lines, customs brokers and internal teams to ensure shipments are delivered accurately, on time and in full.

 

Key Responsibilities

 

Manage the end-to-end operational management of export customer orders, from confirmed order and cargo readiness through dispatch, shipment documentation and delivery follow-up.

Coordinate ocean export shipments, including groupage/LCL and FCL movements, using approved freight forwarders, shipping lines, NVOCCs, co-loaders and hauliers.

Arrange bookings and transport in line with delivery dates, cargo readiness, vessel schedules, port cut-offs and customer requirements.

Coordinate collections from warehouse and packing locations and proactively resolve operational constraints.

Monitor orders in SAP, including customer delivery dates, stock availability, allocations and backorders, working with Supply Chain and customers to manage priorities, split shipments and revised shipment plans.

Prepare, check and issue accurate export documentation, including commercial invoices, packing lists, shipping instructions, Bills of Lading/sea waybills, Certificates of Origin and destination-specific documents.

Apply approved customs, country-of-origin and preferential-origin procedures and coordinate export customs declarations and supporting evidence with the relevant internal teams, brokers or freight forwarders.

Work with Quality and Regulatory teams to confirm destination-country product, registration, certification, labelling and minimum shelf-life requirements where applicable.

Ensure all shipment documentation is consistent and accurate, including product descriptions, quantities, values, weights, commodity codes, origin, Incoterms, consignee/importer details and transport information.

Review draft Bills of Lading and carrier documentation, arrange amendments within required deadlines and ensure final documents are released correctly to customers, banks, brokers or agents.

Maintain proactive communication with customers, distributors, freight forwarders, customs brokers and internal stakeholders, providing accurate ETD/ETA updates, documentation status and early escalation of risks or delays.

Track shipments and resolve operational exceptions, including vessel rollovers, missed cut-offs, customs queries, port congestion, documentation discrepancies and demurrage/detention risks.

Support freight cost control by using approved rates, checking charges, challenging avoidable costs and assisting with freight invoice queries.

Maintain accurate shipment records and system data to support traceability, audits and KPI reporting.

Contribute to export process improvements, country shipping instructions and team cross-cover.

 

About You

 

Strong administration skills – any exposure to exports would be beneficial

Excellent attention to detail, organisation and follow-through, with the ability to prioritise effectively in a fast-paced operational environment.

 

The hourly rate on offer is £15 – this is an initial 3-6 month contract.
