Sales Administrator

12 month Fixed Term Contract 

We are currently seeking a Procurement and Sales Administrator for our client. In this role, you will play a vital part in supporting the Sales & Procurement Manager and ensuring the smooth operation of both departments.

You will be responsible for a variety of tasks on a daily basis. You'll utilize your proficiency in Microsoft Excel, Word, Access packages, and the SWAN Manufacturing System to carry out your duties effectively.

In the Sales department, you will be the first point of contact, answering main reception and door phone calls. You will also handle incoming post and process customer repair units. This involves liaising with customers, providing quotations for repair work, and managing customer documentation. Additionally, you will maintain a comprehensive unit history list and handle the shipment of new products and repair units to customers. Archiving sales orders, repairs, and quotations will be part of your responsibilities, along with arranging travel bookings and organizing refreshments for visitors and internal meetings.

In the Purchasing department, you will ensure the timely delivery of open purchase orders by expediting them. You will liaise with suppliers to obtain delivery updates and address any queries that arise. Processing Delivery Discrepancy Notes and generating weekly shortage and re-order reports will be part of your routine. You will also be responsible for tracking shelf-life material items through a monthly report and raising purchase orders for requisition (non-stocked) items using the SWAN System. Vendor management will be an important aspect of your role, ensuring that quality certifications are up to date. You will also contribute to quote analysis and BOM cost analysis to track unit material costs. Furthermore, you will be expected to handle any other duties that are reasonably expected of an Administrator.

The ideal candidate for this position will have a minimum of 3+ years of office experience, along with excellent proficiency in the Microsoft Office suite, particularly Excel and Word. Previous experience in sales and/or a purchasing environment, as well as an understanding of procurement and/or a manufacturing company, would be advantageous.
