We are in search of an Office Manager/Executive PA who will provide essential support to the Chief Executive Officer and the wider team. In direct collaboration with the CEO, we are seeking a proactive and professional individual who possesses exceptional customer service skills, adept senior administrative capabilities, and excellent organizational and communication talents.

Within your role, you will:

Offer secretarial and administrative assistance to the CEO, encompassing tasks such as coordinating travel arrangements and taking notes during meetings. Assume the responsibility of managing schedules, emails, and correspondence for the CEO and the Senior Management team. Engage in research initiatives and present findings to facilitate informed decision-making processes. Efficiently organize and participate in various meetings, ensuring meticulous preparation and comprehensive documentation. Take charge of overseeing Board/Senior Management meetings, including tasks such as creating agendas, recording minutes, and coordinating action plans.

Additionally, you will be involved in:

Supervising the Office Administrator and Reception area, playing a pivotal role in welcoming visitors and addressing incoming calls. Managing the operational aspects of the office, which includes liaising with suppliers, and ensuring the seamless functioning of the workspace. Effectively handling emails, correspondence, and office supplies to maintain a streamlined data management system. Producing documents, reports, and presentations to meet various administrative needs. Coordinating company events, sourcing appropriate venues, and managing travel and hospitality arrangements as required. Facilitating communication and collaboration with stakeholders, clients, and members, providing support whenever necessary. Taking on the role of a Health and Safety champion, which might involve fulfilling responsibilities such as Fire Warden duties and potential First Aid tasks. Working collaboratively with the team to prioritize and address business requirements and undertaking additional duties as directed by management to ensure the smooth operation of tasks.
